Role OverviewThis critical position supports the development and implementation of effective document control processes to ensure that project documentation is organized, accurate, and accessible.
Key Accountabilities- Develop and Implement Document Control Procedures: Assist in creating and implementing document control procedures and workflows to maintain a well-organized and compliant environment.
- Document Organization: Manage the organization, classification, and filing of project-related documents to facilitate easy retrieval and access.
- Document Distribution: Regularly monitor document progress and ensure timely distribution to relevant stakeholders to maintain a smooth workflow.
- Centralized Document Control: Maintain a centralized document control system and ensure its efficient functioning to support business operations.
- Documentation Review: Review and verify documentation for accuracy, completeness, and compliance to prevent errors and discrepancies.
- Support to Project Teams: Support project teams in obtaining necessary documentation and resources to facilitate their work.
- Regular Audits: Conduct regular audits of document controls to ensure adherence to established standards and identify areas for improvement.
- Training and Support: Provide training and support to staff on document control practices and tools to enhance their skills and knowledge.
- Collaboration with Departments: Collaborate with various departments to streamline document management processes and improve overall efficiency.
- Bachelor's degree in Business Administration, Information Management, or a related field.
- 3-5 years of relevant experience in document control or administration, preferably within the construction or real estate sectors.
- Understanding of document control principles, processes, and software.
- Strong organizational skills with keen attention to detail.
- Proficient in Microsoft Office Suite and document management systems.
- Excellent communication and interpersonal skills.
- Able to work independently and as part of a team.
- Problem-solving skills and ability to manage multiple tasks effectively.
