About the Job

The Hong Kong Housing Society is seeking a highly skilled Senior Administration Officer to join our team in the Records Management function. As a key member of our administration team, you will play a crucial role in ensuring the integrity and easy retrieval of records.

Key Responsibilities
  • Records Management: Assist in the daily operation of records management to ensure records integrity and easy records retrieval.
  • Electronic Records Management: Coordinate and support the management of records in Electronic Document Management Systems (EDMS) and Electronic Recordkeeping Systems (ERKS), ensuring proper records classification, taxonomy, retention rules, etc.
  • Project Coordination: Assist in coordinating and supporting organizational and departmental records management projects/initiatives, particularly the implementation of ERKS projects.
  • Records Register Maintenance: Compile and maintain records registers to ensure compliance with records management policies and procedures.
  • Document Custody: Provide independent support services in the safe custody of corporate vital documents, ensuring that corporate vital records are properly maintained.
  • Training and Development: Provide training to colleagues on various records management practices in EDMS/ERKS.
  • Operational Statistics: Compile operational statistics for data analysis for records management functions.
  • General Support: Provide other general support as directed, including but not limited to records digitization, records indexing, etc.
Requirements
  • Education and Experience: Degree holder with at least 3-5 years' experience in records management or information management or equivalent, with demonstrated knowledge of electronic records and information management processes in a sizeable organization.
  • Knowledge and Skills: Sound knowledge in records management or information management and related practices is preferred. Strong knowledge of data processes and information systems. Good knowledge or experience in Electronic Document Management System or Electronic Recordkeeping System or equivalent.
  • Language and Communication: Good command of written and spoken English and Chinese. Strong interpersonal and communication skills and be attentive to details.
  • Teamwork and Supervision: A good team player and proactive. Ability to work under minimal supervision.
