Administrative Assistant

**Key Responsibilities**:
- Greet clients and visitors in a professional and friendly manner.
- Answer and direct phone calls / messages to appropriate staff members.
- Maintain office supplies inventory and place orders as needed.
- Assist with scheduling appointments and managing calendars for the management
- Coordinate meetings and appointments, including booking meeting location and preparing meeting materials.
- Attend meetings with the management staff, take detailed notes, record action items, and ensure accurate documentation of discussions and decisions related to the projects and office operations.
- Assist with basic bookkeeping tasks, such as processing invoices, expense reports, clients file, and materials shelving.
- Assist with project documentation and filing, including organizing digital and physical files.
- Provide general administrative support to the office, including photocopying, scanning, and filing documents.
- Assist with special projects and other duties as assigned.
- Responsible for conducting field work within the local market to source samples, collect shipments, and procure necessary materials to support ongoing projects.
**Qualifications**:
- Native Arabic speaker
- Proficient in English language
- Knowledge of interior design(preferably)
- French language knowledge (preferably)
- Willing to travel.
**Education**:
- Bachelor's (preferred)
**Experience**:
- Personal Assistant: 4 years (required)
- Dealing with clients: 2 years (required)
