Admin & Office Facilities Manager

**Scope of work**
This role scope should ensure the day-to-day smooth operation of a building's infrastructure and maintenance through administrative support, including procurement, stationary negotiation, contractor liaison and documentation, doors access management, parking lot management, as well as coordination of staff and office equipment during the onboarding and relocation, in addition overseeing the logistics, staff events inside and outside the office.
**Responsibilities**
Perform below duties; to ensure that all administrative & faciality tasks managed as per Cigna standers, for example but not limited to:
- Ensuring that office requirements are met efficiently, including office supplies, equipment, and facilities.
- Coordinating all general administration activities in the office.
- Ensuring that files are well-organized and in order.
- Mobilizing new employees swiftly and efficiently, arranging accommodation and transportation as needed.
- Handling tasks related to telecommunications, heating, electricity, and other infrastructure installations.
- Ensuring proper upkeep of equipment and supplies to meet health and safety standards.
- Inspecting building structures to identify repair or renovation needs.
- Review utilities consumption and work to minimize costs.
- Managing activities like parking space allocation, waste disposal, and building security.
- Overseeing external contractors involved in maintenance and repairs.
- Managing reception desk team, tea boy, cleaner other Admin staff.
**Experience & Competencies**
- ** Experience**: Proven experience as a facilities Manager or in a relevant position.
- ** Technical Knowledge**: Familiarity with technical/engineering operations and facilities management best practices.
- ** Communication Skills**: Excellent verbal and written communication skills.
- ** Analytical Thinking**: Good analytical and critical thinking skills.
- ** Good customer services** skills along with positive attuited.
- ** Understanding of regulatory requirements** of civil defense, municipalities etc.
- ** Strong problem solving**, analytical and decision-making skills.
- ** Education**: A degree in facility management, engineering, business administration, or a relevant field. Relevant professional qualifications (e.g., CFM) are advantageous.
